PROPOSAL MEMO
TO: Ms. Alex
FROM: Management Team
CC: Employees and Managers
DATE: December 22, 2015
SUBJECT: Managers’ Problems
Statement of the Problem
The purpose of this proposal memo is to identity and represents the common problems faced by management in an organization. In particular, the memo focuses on management mistakes that occurred due to poor work-relationship in the organization. In addition, the proposal will suggest the possible solutions to the problems (Heizer, Render & Munson, 2016). Some of the issues to be addressed are procrastinating important issues, recruiting and giving feedback to difficult employees, assuming that employees understand their roles and responsibilities. Additionally, it has been observed that supervisors have been reassigning tasks instead of training employees to improve their performance. Moreover, it is clear that there is inadequate creativity by management. Solutions to the problems are necessary in order to correct the deteriorating level of performance and productivity.
Effects of the Problems
The poor relationship between senior managers and works has led to major problems in the business. In particular, it has impacted negatively on the general organization’s performance leading to low production. To be specific, the most affected groups are the employees because they determine the productivity in the organization (Heizer, Render & Munson, 2016). Conversely, managers have been affected because shareholders and other stakeholders have been demanding explanations from them. Therefore, it is important to inform all the parties about the problem to establish their real cause and put in place reasonable solutions to the mistakes (Heizer, Render & Munson, 2016). Importantly, the top management has realized that without urgent actions, the problems of difficult employees and inadequate creativity can increase beyond control and production level might reduce further.
Individual with highest Stake in the Problems
It is important to note that the problem of managing employees has widely affected several areas of operation in the organization. For instance, the poor work-relationship has led to reduced productivity, reduce workers’ morale and increase complexity in management. The employees are only motivated when their work is regularly monitored and when they receive feedback. As a result, they are able to gauge their performance and compare them with the required standard. A manager who does not supervise employees regularly creates bad relationship in the organization. Notably, supervision must be done in accordance to labor Act guidelines (Heizer, Render & Munson, 2016). The supervisor must exercise professionalism in order to maintain a good relationship with employees. To solve the management problems, the supervision work must not be viewed as a tedious exercise but rather as an important and core organization function. This will allow managers to spend part of their time on productive work and not just dealing with the impact of poor performance. Therefore, managers have the highest stake in solving the management problems.
Solutions to the Problems
It is important for the management to devise appropriate solutions to the problems. Some of the most effective solutions include encouraging employees to improve their performance, giving appropriate feedback to employees, avoiding procrastination of work by participating in regular training exercises, taking supervisory work as part of organization core activities, proper recruitment to reduce the effects of difficult employees and working together with employees at times to reduce bad relationship (Heizer, Render & Munson, 2016). To elaborate, the manager must have a close link with human resource department so as to conduct proper recruitment which ensures that only the best workers are employed. Additionally, the managers must encourage adequate creativity and innovation in the organization.
Challenges in Developing and Implementing Proposal
There are several challenges that were encountered while developing the proposal that specifically aimed at finding solutions to managers’ problems. The challenges included issues that are likely to deter the implementation of the proposal on management problems. For example, the use of devices to measure performance of employees was not perfect, therefore, not giving clear reflection of performance in the organization (Heizer, Render & Munson, 2016). Distortion of the feedback about the performance during supervision can lead to inaccuracy, conflicting information and slow response to the proposed ideas. Balancing between the reports from different supervisors may be difficult in cases where supervision is conducted by more than one supervisor.
Approval of the Proposal
Lastly, Ms Alex should approve the proposal because its successful implementation may cause a reduction in the cost of operation. Consequently, the revenue collection and profit margin will improve. It is important to note that implementation of the proposal would solve majority of the organization management problems thereby improving performance.
