Unit Lesson
In this unit, we concentrate on shortcuts and tabs that will make your life easier in Word 2016. Once you
become familiar with these, you can quickly create professional-looking documents and edit how your
information is presented. There are several shortcut keys that can be used for Word 2016 on the keyboard.
Please see the table below for some common shortcuts.

Tables
Tables are useful to display information. Information can be presented in a logical and orderly manner by
using tables, which are organized by rows and columns. A cell is the intersection of the row and column. The
user can also insert rows and columns once the table is created. When a table is first created, the columns
are of equal width. You can change the size of the columns as you see fit, and you can autofit the contents in
a column to make the table look attractive and professional. Text that has already been typed can be
converted to a table. Commas and tabs must be used within the paragraphs to signal Word to create a

column (Gaskin, Geoghan, Graviett, & Vargas, 2017). The next command is the

command,

Table, and then click convert Text to Table. The number of columns you want Title
needs to be confirmed in the
convert text to table dialog box. You need to also indicate the delimiter character used and then click OK. The
delimiter character would be a tab or paragraph mark for instance. A table can also be converted to regular
text. You should choose which text character to use to separate the columns. On the table tools Layout tab, in
the data group, click Convert to Text. You should use Word’s formatting tools to make the tables easy to read
and attractive. There are many types of formatting that can be added to the table, including “changing the row
height and the column width, removing or adding borders, increasing or decreasing the paragraph or line
spacing, and enhancing the text” (Gaskin et al., 2017, p. 546).
The best way to change the column widths is by starting on the left side of the table. This is especially true
with tables with more than three columns. Word 2016 can also calculate the best column widths for you. In
order to do this, select Table, and then on the Layout tab, choose the cell size group, and then click the
Autofit button and click Autofit Contents (Gaskin et al., 2017). Borders can also be removed from a table.
Once you have removed the borders, nonprinting guidelines can still be viewed. This shows the cell
boundaries of a table whenever the table does not have borders applied. The cell margins can be configured.
The default cell margins are 0” for top and 0.08” for left and right. Select the table when wanting to change the
cell margins, and then simply click Properties in the Layout tab. “In the table properties dialog box, click the
cell tab, and then click the options button. In the cell options dialog box, clear the same as the whole table
check box, and then set the desired margins” (Gaskin et al., 2017, p. 552). Data can also be sorted in a table.
Click anywhere in the table, and then click on the table tools Layout tab, and click Sort.
To insert a table in a Word document, place the cursor where you want to insert the table. Click on Insert on
the ribbon tab and then click on Table. In the tables groups, hover over the boxes to get the number of rows
and columns you want to insert into the table. You can also use the Insert Table command and type in the
number of columns and rows needed. To get a custom design for your table, click on Design, and choose
one. See Figure 2 for some of the designs available in Word 2016.

Headers, Page Numbers, and Symbols

Title
To insert a header or add a header, go to Insert on the ribbon. There are different types of headers to choose.
The Design tab appears when you type the text into the header. To add a footer, click on the Footer button in
the Design tab. Once you have finished, click Done on the Close Header and Footer button. You can also
insert a page break that takes you to a new page. Click the Page Break button under the Pages group on the
Insert tab. You can click on this ribbon or use a shortcut.
To add page numbers to the document, click on the Insert tab and then Page Numbers. The choices for the
page numbers are top of page, bottom of page, page margins, current position, format page numbers, and
remove page numbers. The top of page, bottom of page, page margins, and current position have additional
attributes. Click on the arrows to see these attributes.
To insert a symbol, click on the small arrow under the Symbols group and select the symbol you want to
insert. Select More Symbols to see additional symbol choices. See Figure 3 for some symbols available in
Word 2016.

Images
Images can be inserted and formatted in Word 2016. Click on Pictures from the Insert tab. This will take you
to any pictures stored on your computer. Browse for the image you want to insert into the document, and
select Insert once you choose the image. The image will then appear on the document. You also have the
ability to edit the image. Click on the image to edit and a format tab to edit will appear. Some of the functions
for editing include position, wrapping text, aligning the image on the page or rotating it, and cropping the
image. You can also search the Internet for online pictures. Click on Online Pictures. Type in the Bing search
box, and choose what you are looking for. Click on the image you want and then insert. The image will appear
on your document. You also have the ability to add shapes to your document in Word 2016 by clicking on the
Shapes button in the Insert tab.

Page Layout

Title
Page layout is another attribute available in Word 2016. The page layout is used to set up margins, paper
size, or document orientation. On the Page Setup group, click on the small diagonal arrow in the lower righthand corner and the Page Setup dialog box will appear. This is where you can make necessary changes.
There is a column feature that allows you to split the page into two, three, left, and right columns. Also
available are several different breaks. There are three different main tabs in Page Setup: Margins, Paper,
and Layout. You can click on each one to see what the function is. See Figure 4 for a page layout view in
Word 2016.

Another valuable feature in Word 2016 is the References tab. This tab is used mostly for scholarly papers,
writing, and for publishing purposes. This feature allows you to insert a citation in whatever style you want that
is available in the drop-down menu. Click on Insert Citation and select Add New Source. You must type the
information in the required fields in the proper citation format (e.g., capitalization, italics, etc.) and then click
OK when finished. Once you click on Insert Citation, you get the view shown in Figure 5.

Another useful and important feature in Word 2016 is the Review tab. This is where spelling and grammar can
be checked from the proofing group. Comments can also be added to proofread a document. Highlight the

the changes. Once the changes have been reviewed in the document, click Accept.
A new feature added in Word 2016 is Ink Equation. You can write an equation using the mouse or a special
device that converts the equation into text. Click on Insert, and choose Equation from the symbols command.
Once you click on Equation, the choices are Area of Circle, Binomial Theorem, Expansion of a Sum, Fourier
Series, Pythagorean Theorem, More Equations From Office.Com, Insert New Equation, Ink Equation, and
Save Selection to Equation Gallery. See the Ink Equation interface in Figure 6. This is where you can use the
mouse to make a new equation.

In this unit, shortcuts were discussed. Shortcuts make things go faster, especially for tasks that you do often.
Also discussed in this unit were tables, headers and footers, symbols, shapes, page layout, review tab, and
the ink equation. The best way to become familiar with these items is to practice in Word, so you may want to
open a blank document and begin exploring.
