Making an Excel Spreadsheet More Effective and Efficient - Business Finance
Attached Files: Commission Calculation.xlsx (24.395 KB)Problem #1: The purpose of this assignment is to have you analyze a workbook and determine its inefficiencies. Remember, worksheets should be professional, easy to understand, easy to maintain, and efficient. Hint: use the spreadsheet checklist and the material you covered in the textbook. The data file needed for this problem: Commission Calculation. This worksheet was produced by Thomas Ford for his company Janesville Consulting Services. The calculations used in this file are primarily accurate, however, this is not an effective nor efficient worksheet. Perform an analysis of the worksheet. Your analyses should identify the inefficiencies within this worksheet. Modify the Commission Calculation workbook to be more efficient, easy to understand and maintain, and professional. Using a little professional color is okay! I HAVE ATTACHED THE EXCEL DOCUMENT AND A SPREADSHEET CHECKLIST THAT LISTS ALL FORMATING AND EXPECTATIONS FOR WHAT THE DOCUMENT SHOULD LOOK LIKE.

Spreadsheets Checklist
Put worksheets within your workbook in this order unless instructions for an assignment states otherwise.
User Information Worksheet (student must add this worksheet to EVERY workbook unless instructions state
otherwise)
File Information includes Created by, Date created, Date revised, Revised by, and Contact for help
Purpose of Worksheet includes a clear description of the intent of the worksheet written in paragraph
format
Instructions to User includes special instructions needed by user to enter data correctly written as a
numbered list
Worksheet tab is named User Information
Run spell check
Data File Worksheet (if required) followed by the Analysis Worksheet
Title includes “who” and “what”
“Report Date” entry area provided.
Use Data Sections or separate Data File Worksheet whenever appropriate. If a Data Section is used within
the Analysis Worksheet, it should be labeled as such.
Data Section is set up for ease of use.
Worksheet is “styled” or formatted with appropriate borders, column width adjustment, bold letters, etc.
Cell Formatting (single and double rulings in appropriate places, dollar signs used appropriately, zeros
aligned, subtractions or deductions in parenthesis)
Cell Formatting Is consistent between individual entries and totals (example: if totals have 2 decimal places,
do the individual amounts also have 2 decimal places?)
Absolute cell references are used when appropriate
Vary column widths to fit the data present. Do not use blanket columns to create space.
Place titles at the top of all data columns (one exception is on financial statements where the statement
heading is sufficient). Titles should be centered or right justified in the columns.
Use zero decimal places whenever decimal accuracy is not required. Generally, if the problem statement
does not include cents, your answer will not require cents.
Portrait printing used, unless specified otherwise or it is more professionally presented in landscape
Centered horizontally on page, unless specified otherwise
Header includes your name, the lesson number, and the exercise number in the upper right corner even if
specified otherwise
Footer provided for printouts longer than one page (use “Page x of y” format), unless specified otherwise
Worksheet tab is named appropriately
Use file protection where appropriate on the worksheet. Unprotect the cells where changeable data or
labels are to be entered.
Use upper- and lowercase letters as appropriate. Generally, uppercase letters are needed as the first letter
in all headings and titles.
Use the =Round function to eliminate rounding discrepancies.
Printouts should include no unusual spacing or gaps in the middle of the page. Wide worksheets should be
printed using landscape orientation. Use the Size option “Fit all to page” to reduce printouts to a single page
if possible (make sure the instructor can read the output).
Charts (if required)
Header includes your name, the lesson number, and the exercise number in the upper right corner even if
specified otherwise.
If the chart is on a separate worksheet:
o Landscape printing used, unless specified otherwise
o Centered horizontally on the page
o Chart title includes a three-line heading: name of the company, description of what is provided in
the chart, and period of time.
If the chart is on the same worksheet as the data:
o Chart is sized appropriately, easy to read.
o Chart is located to present professionally with the data.
o Chart title only needs to include the description of what is provided in the chart if the name of the
company and the period of time is included on the worksheet.
Legend required unless it doesn’t add value.
Legend should be in an appropriate location, so it doesn’t minimize the actual chart data.
Both the horizontal and the vertical axes are labeled appropriately; be specific – tell the reader what is being
represented (if they are dollars, format as dollars, if they are months, list the months instead of using 1, 2
etc.)
No dark backgrounds can be used even if the instructions call for it.
Use data labels when appropriate and make sure they are sized and placed appropriately.
All the data is easy to read.
Rename the worksheet tab.
Before Submitting:
Verify the workbook looks professional (be careful with the use of color and use earth tones) The goal isn’t
to make the workbook pretty, it is to make it look professional.
Run Spell Check!
Information should be accurate—proofread entries and test formulas
Reread the requirements—is the information provided what was requested?
The attached worksheet is a calculation of comission paid to consultants.
The columns with yellow headers have formulas.
I inserted a comment explaining what the formula is doing.
